Calendar and sessions
Book sessions, repeat them, plan time off, and sync the calendar to your phone.
Book a session
In Calendar, choose a time or New session. Pick the dogs, the trainer and the length, and say what to work on so whoever takes the session knows the plan. The client gets an email with the time and sees it in Handlr.
Tick Repeat weekly to book it for 2 to 12 weeks as a series. Open the series from any of its sessions to change or end it.
Seminars over several days
A group session, such as a weekend seminar, can run over several days. Choose Add another day and give each day its own date, start and length, and its own site if you have more than one. One place covers every day, so capacity, price and invoices stay per seminar. The calendar shows a block on each day, trainers are only busy during each day’s hours, and clients get a reminder the day before each one.
After a session
Open the session and record how it went: grade the skills worked on, set homework and add anything For next time. Sessions you haven’t finished show on Today under Sessions to finish.
Packages and credits
A package is a bundle of sessions paid for up front. Each booking uses one credit. Set packages up in Money → Billing → Catalogue.
Time off and closures
Time off and closures blocks out time when someone is away or the business is closed. Nothing can be booked in it. Add bank holidays closes you on every public holiday in the year.
Decoys and helpers
Book people and kit onto sessions, such as a decoy for bite work. Add their certifications to see when they run out.
Calendar sync
Under Calendar sync, copy your calendar link and subscribe to it:
- Google Calendar: Other calendars, then From URL, and paste the link.
- Outlook: Add calendar, then Subscribe from web, and paste the link.
- Apple Calendar: Open in calendar app, or File, then New Calendar Subscription.
Choose My sessions or Whole team. Make a new link at any time; the old one stops updating.
Reminders
Owners hear about their bookings by email, in your branding:
- when they book a place themselves or join a waiting list
- when you book their dog in, move it off a waiting list or cancel its place
- when you accept or decline a request for a session or stay, or suggest other dates
- the day before a session, and the day before a stay starts
Admin → Reminders turns on texts as well. Owners who turn on texts in Handlr and have a mobile number then get a text alongside the email for every booking, whoever makes it, when you move or cancel their place, and with each reminder. Texts are limited per plan each month: 100 on Solo, 250 on Team for up to 3 trainers, 500 on Team for up to 5 and 1,500 on Business. The same page shows how many your business has sent this month.
